How to Recall Patients

 
Automatic recalls can be sent to all patients whose next appointment - calculated by adding their Recall Months to their Last Treatment End or Last Treatment Start date- falls within a given date range.
To send a recall for all patients fist press the button from the main Patient record.
 
 

Select Your Date Range:

 
Recalls should be processed regularly, depending on your practice size once a week or once a month is sensible.
 

Select Practitioners

 
Choose between sending recalls for dentists or hygienists. Select which practitioner's patients you want to recall or leave blank to select all. Unless you have a specific reason to use change it leave Date to use: Last Treatment End.
 

Calculate Numbers First

 
Before Sending any recalls PearlPlus calculates all required messages. Each patient is contacted by their respective Recall By value. See Setup Templates/Recall Tools for information on adjusting your patient recall by fields or setting up templates. For patients who are overdue select the Template To Use: Failed, while patients who are not yet overdue but are due soon, use the Traditional template.
 

Phone:

 
The Phone Recall List shows all patients who you wish to contact by phone. There is no facility to automatically contact these patients directly through PearlPlus, simply print this list and call each patient.
 

Mail

 
The List button shows all patients who will be contacted by mail.
 
The Word Recall button produced a new mailmerged document using the selected template for all patients in the list.
 
Press 3x7 Labels to create an address label mailmerge for all patients.
 

Email

 
Again the List Button shows a list of all patients the program will attempt to Email.
 
The Email Recall button brings up the Email editor screen with the correct template.
 
 
 
At this stage you can edit the Email message before merging in the patient's merge fields. To preview the message with the first patient's details shown press Preview. To send these Emails press Send.
 
 

SMS

 
As with Email the List Button shows a list of all patients who will be contacted by text.
 
The SMS Text Message Recall button brings up the SMS editor screen with the correct template.
 
 
At this stage you can edit the message before merging in the patient's merge fields. To preview the message with the first patient's details press Preview. To send these emails press Send. The system will check if you have enough text credits to perform the required action and warn you  that it is unable to send if you have too few credits. You will also be asked to confirm before sending the text messages.
 
If any messages are unable to send - for example the mobile number has an invalid format - a Not Sent List will be shown.
